AZCO Office Assistant (AZCO) - Appleton, WI in Appleton, Wisconsin

Description

Responsible for providing administrative support to the leadership team to ensure continuity of daily office functions and operations. Coordinates office support and reception services.

Essential Duties and Responsibilities include the following: Other duties may be assigned.

  • Provide administrative support to department managers.

  • Assists the human resources department with assembling new hire packets, entering new hire information into management information system, scanning and filing new hire paperwork to document management system, and reviewing and auditing forms.

  • Completes wage and employment verifications and unemployment claims.

  • Coordinates administrative tasks for the safety department such as labeling invoices with correct project numbers and assembling PPE for offices and jobsites.

  • Scans invoices and statements and monitor past due invoices.

  • Assists the procurement department with purchase order adjustments.

  • Receives and directs calls to the appropriate department. Greets and assists visitors and guests. Monitors visitor access badges. Manages reception area by keeping it secure, clean and welcoming.

  • Monitors fleet vehicle assignments and documentation.

  • Plan, coordinate and facilitate onsite and offsite meetings and events. This may include: orientation and training, stakeholder meetings, management meetings, and company events.

  • Prepares email announcements, letters, memos, forms, and reports according to written or verbal instructions.

  • Ensures office equipment is maintained and stocked.

  • Provides the utmost confidentiality when handling sensitive information.

Education and/or Experience:

  • Technical degree or certificate from college or technical school; or at least three years related experience and/or training; or equivalent combination of education and experience.

Computer Skills:

  • To perform this job successfully, an individual should have basic, applied knowledge of MS Office Suite or related software.

Other Skills and Abilities:

  • Effectively work with a variety of personalities and always maintain a pleasant demeanor.

  • Excellent verbal communication skills.

  • Ability to compose professional written communication.
