Burns & McDonnell Project Assistant (Birmingham, UK) in Birmingham, United Kingdom

Description

To provide administrative support to construction projects both on site and remotely, during, pre and post construction and premobilisation.

  • To maintain own levels of skill and knowledge to do the job effectively

  • To comply with the relevant Company HSQE and welfare policy

  • To ensure operative records are accurate and kept up to date

  • Ordering of IT equipment and stationery and other office supplies.

  • Setting up laptops for new starters following company standard procedure (no IT knowledge required but confidence in following a computer set up process)

  • Project filing using document management software.

  • Document management and filing including site drawings

  • Distribute incoming mail and arrange courier / postal deliveries

  • Raise purchase orders through company management information system (MIS)

  • Supporting supplier set up in MIS

  • Process client bills and invoices for payment through company system

  • Coordinate travel arrangements and any other internal services for various project needs.

  • Schedule and arrange meetings including catering arrangement

  • Preparing minutes from Project Manager/team meetings.

  • Prepare correspondence, reports and other documents as requested.

  • Assist in clericals needs on projects and any other duties as assigned.

  • Remotely assist other sections of the business including mid and senior level management

  • Organize and manage preparation for the Considerate Constructor Scheme visits and audits

Qualifications

  • High school diploma or equivalent.

  • Minimum of one year applicable office/clerical experience preferred.

  • Proficient in Microsoft Word, Excel, Access and PowerPoint required.

  • Applicable experience may be substituted for education requirements.
