Burns & McDonnell Project Assistant Supervisor - Oil, Gas, Chemical (Houston) in Houston, Texas

Description

This is a management position in addition to supporting OGC leadership. This position is responsible for providing admin support to management and the managerial direction and leadership of the Project Assistant and Department Assistant teams within the Admin Support Department of the Oil, Gas & Chemical Global Practice in Houston. The Project Assistant Supervisor is responsible for the direction and leadership of the Project Assistants and Department Assistants in the Admin Support group. This includes directing and coordinating assignments and activities to ensure the efficient and cost effective utilization of the administrative team. Specific areas of responsibility include the following:

  • Schedule and manage Project Assistant and Department Assistant staff to meet divisional workload requirements.

  • Coordinate Project Assistant and Department Assistant activities with Project Managers and Division management.

  • Serve as the technical advisor and provide senior-level input and evaluation of administrative activities and support in initiatives at the Global Practice and Department levels.

  • Maintain a close and highly responsive relationship with Global Practice leadership, managers, and their supporting staff.

  • Interpret and adapt guidelines, including unwritten policies, precedents, and practices.

  • Lead in the development of objectives and requirements for the group; organize projects and develop standards, procedures and guidelines.

  • Recommend organizational structure changes in order to more effectively and efficiently achieve the objectives of the group.

  • Develop and implement processes and procedures to better serve clients, increase staff skills and maintain billability goals.

  • Assist in problem-solving complex or difficult project situations with administrative staff and internal or external clients.

  • Coordinate the required training programs and records for project personnel in conjunction with the corporate training department and project requirements to ensure compliance

  • Plan, coordinate and facilitate on-site and off-site meetings for the project(s) and department(s)

  • Monitor and manage project set-up preparation and project deadlines.

  • Work closely with Project Management to maximize billability and manage work assignments.

  • Provide cross training with all administrative staff

  • Organize and lead team meetings.

  • Interpret and implement policies, procedures and strategic goals of the organization.

  • Recruit, train, mentor and develop Project Assistant and Department Assistant teams.

  • Evaluate performance, provide feedback and complete performance reviews.

  • Resolve escalated project and department related issues.

  • Responsible for overall QA/QC process adherence.

  • All other duties as assigned.

Qualifications

  • Bachelor's Degree and 4 years related experience required or

  • Associate Degree and 6 years related experience required or

  • High School Diploma/GED and 8 years applicable work experience may be substituted for degree requirement required

  • Previous supervisory experience preferred.

  • Previous experience within A/E/C firm preferred.

  • Proficient in Windows Office Suite.

  • Excellent verbal and written communication skills.

  • Ability to handle multiple projects at one time while meeting deadlines.

  • Position requires ability to work independently, demonstrating accuracy, reliability, and problem-solving skills.

  • Excellent organizational skills, attention to detail, communication skills and ability to handle multiple tasks.

  • Demonstrated ability to communicate with all levels within an organization.
