Description
The Billing Assistant (AR/Admin) is responsible for collection and posting of cash receipts company-wide, exception handling of invoicing backup requests, updating various internal reports, assist with basic Annual Rate Update support, review and complete daily cash receipt posting, research unidentified deposits, support month end processing and reporting, and respond to various requests from project teams and clients.
Job Duties
Perform administrative Billing/Admin functions
Resolve and complete backup exceptions for client invoice support
Monitor and troubleshoot automation status and escalate as needed
Data entry for client specific invoice submissions
Annual Rate Update support
Manage relevant Client Relationship system information
Integrate project updates submitted by Billing from Oracle to EcoSys
Perform administrative Accounts Receivable activities functions
Identify, code and post daily cash receipts, monitor and record wire and ACH activity via on-line banking, research unidentified cash receipts
Research, track, and coordinate deposit of checks received in office
Allocate cash receipts across multiple internal client projects, prepare daily cash sheet for executive management, and reconcile daily invoice batches from billing
Create A/R tax transactions for domestic and international tax
Respond to customer account statement and ACH requests
Monitor and troubleshoot automation status and escalate as needed
Provide backup coverage for Accounts Receivable duties
All other duties as assigned
Qualifications
Bachelor’s degree in Business from an accredited university preferred (or equivalent experience)
Intermediate skills using Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
Previous Oracle experience preferred.
Experience in engineering/construction industry preferred
Self-starter, proficient in time management to handle deadline pressure and multiple assignments simultaneously.
Excellent attention to detail and organizational skills.
Strong interpersonal skills and ability to work collaboratively in a team environment.
