Job Information

Burns & McDonnell Project Assistant - Aviation & Federal in Kansas City, Missouri


This position supports architecture, engineering and construction projects by assisting the Project Manager and project team in providing administrative assistance as needed or requested.

  • General administrative support for company projects.

  • Responsible for assisting team in meeting all due dates and deadlines.

  • Organize and maintain network project files, filing system and project communications.

  • Provide data entry for projects.

  • Format and bookmark documents for product deliverables.

  • Convert files into various formats as needed for documents (i.e. pdf’s, word, jpeg, etc).

  • Responsible for preparing documents for client submission correctly while performing other duties simultaneously.

  • Track status of projects and provide PM with updates on all deliverable documents, as well as status of team’s efforts.

  • Update record copies as needed.

  • Type memos, correspondence, reports and other documents as requested.

  • Responsible for preparing outgoing mailings and labels for all overnight deliverables. engineering project documentation and changes.

  • Prepare minutes from Project Manager/team meetings.

  • Answer phones and direct c

  • Reserve conference rooms and coordinate client, vendor and/or supplier presentations, meetings and interviews, including set-up and cleanup (i.e. “lunch and learns”).

  • Schedule and set-up team meetings as requested.

  • Order and maintain supplies.

  • Update the project calendars per project due dates.

  • Responsible to keep project teams apprised of all deliverable due dates.

  • Maintain meeting sign-in sheets.

  • Assist project managers with expense reports.

  • Track, log and distribute construction documentation.

  • Assist with researching safety records of potential subcontractors.

  • Evaluating existing processes and making recommendations for efficiency.

  • Must be able to deliver quick “turn around” times for all requests and project needs.

  • Assist other Project Assistants whenever possible; ability to quickly pick up in any aspect of project immediately.

  • Work extremely efficiently under minimum supervision.

  • All other duties as assigned.



  • High school diploma or equivalent. Minimum of 2-3 years applicable office/clerical experience preferred.

  • Proficient in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook preferred.

  • Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail.

  • Exceptional communication skills (oral and written).

  • Professional correspondence free of grammatical and spelling errors.

  • SpecsIntact, Bluebeam, InDesign, Aconex, Document Locator a plus.

  • Applicable experience may be substituted for education requirements.

  • Comfortable working in a high intensive, fast paced, and demanding environment.

  • Able to pick up new software systems quickly, efficiently and with minimal training.
