Job Description Executive Assistant:

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our CFO. Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the CFO.

Responsibilities:

  • Schedules, organizes and coordinates departmental and inter departmental meetings

  • Act as the point of contact among various depts, clients and other external partners.

  • Manage information flow in a timely and accurate manner.

  • Manage executives’ calendars and set up meetings.

  • Make travel and accommodation arrangements

  • Track daily expenses and prepare weekly, monthly or quarterly reports

  • Format information for internal and external communication – memos, emails, presentations, reports.

  • Take minutes during meetings

  • Organize and maintain the office filing system

  • Effectively communicates and coordinates for the completion of the tasks as per the deadline and initiates follow-up action.

  • Streamlines team communications to maximize productivity, track and help drive completion of key deliverables.

Requirements:

  • Experience in exercising discretion and confidentiality with sensitive company information

  • Excellent organizational skills with an ability to think proactively and prioritize work

  • Integrity and confidentiality

  • Excellent MS Office knowledge

  • Outstanding planning, organizational and time management skills.

  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)

  • Outstanding English communication i.e., proficient in spelling, punctuation, grammar, and other English language skills and excellent verbal and written communications skills

Qualifications

  • Master’s degree in finance field. A specialized Administrative Assistant Course would be an added advantage.

  • Must have 10 years of relevant experience.

  • Prior experience working as office attendant to CFO will be an added advantage.
